Job Overview:
The Executive Administrative Assistant supports the TennCare Deputy Director and Chief of Staff.
The Executive Administrative Assistant will work independently, communicate clearly, take initiative, demonstrate a high-level of organization, navigate uncertainty, and collaborate with the Executive team and other TennCare partners to ensure day-to-day operations run smoothly.
Key
Responsibilities:
Continually monitor the Deputy Director and Chief of Staff's email accounts and handle sensitive information in a confidential manner.
Manage and coordinate the Deputy Director and Chief of Staff s calendars.
Organize meetings and conference calls by sending out invitations, such as reserving conference rooms or virtual meeting platform (e.
g.
, WebEx, MS Teams) and greeting and assisting visitors to the correct meeting location.
Submit hiring and other position-related requests and assist in all executive team onboarding, such as scheduling interviews and processing new hire paperwork.
Maintain a relationship with TennCare Human Resources and serve as HR Liaison for the executive team.
Maintain staff records and tracking of performance management processes.
Organize travel arrangements for the Deputy Director and Chief of Staff as well as other executive team members as needed.
Prepare travel-related expense claims and process through Edison.
Ensure time administration is entered properly and approved in Edison on each pay period for each staff person in the designated areas.
Work independently with minimal supervision.
Maintain office supplies by checking stock to determine inventory level, ordering supplies, and storing supplies in an organized manner.
Perform other duties as assigned, including serving as executive administrative back-up to the TennCare Director.

Qualifications:

years of administrative assistant experience Strong proficiency in Microsoft Office suite including Word, Excel, PowerPoint, Outlook, Teams, and Visio Excellent written and verbal communication skills, alongside good questioning and listening abilities Demonstrated time management skills and proven ability to manage multiple tasks simultaneously while completing work within allocated time frames Self-starter attitude with the capacity to work both independently and collaboratively Desirable
Qualifications:
