PURPOSE:
This
position
is responsible for the management of facility support
services
to ensure high quality, streamlined and cost effective delivery of facility and administrative services. The position is responsible for maintaining a safe, reliable and efficient facility operation emphasizing operations and maintenance, scheduling, equipment, client relationship and other functions required for day to day operations.
KEY ACCOUNTABILITIES
ESSENTIAL DUTIES AND
Responsibilities:
Manage facility related projects as required: activities including, but not limited to, electrical, lighting, construction, building automation, general maintenance, grounds, maintenance of machinery, equipment, and reconfigurations.
Manage ongoing facilities maintenance and operations programs, setting standards, using metrics, and look for ways to improve optimization of facilities space, investment and utility costs.
Prepare cost estimates, schedules, correspondence, contracts and purchase requisitions for assigned projects. Manage and supervise vendors.
Manage, implement, and or participate in design and planning.
Understand and participate in
real estate
leasing and implementation as needed.
Manage and coordinate building space allocation, moves (macs), layouts, and facilities expansion.
Plans, manages, and or coordinates restacks and large building to building moves.
Maintain the facility, its assets, finishes and furnishing using best practices.
Implements: janitorial, life safety, standards, inspections and general maintenance.
Performs regular safety and risk assessments and develops mitigation plans to ensure continuous and efficient operations (OSHA & ADA compliant).
Must operate or manage BAS, parking lot management systems, systems supporting custom building features.
Make recommendations and purchase furniture, equipment and office supplies.
Ensure required documents are obtained: Master Service Agreements, Statement of Work, Hot Work Permits, and contractual agreements, COI's, etc
Responsible for compliance and commitments to: procurement, safety, HR, legal, security, critical systems, incident management, client, etc.
Capital budget planning, estimates for facility modifications, equipment labor, and materials.
Develop and manage the annual site budget, accruals, po's and vendor invoicing.
Documents Standard Operating Procedures, Preventive Maintenance Procedures, develops Playbook and manages updates for assigned facilities.
Observe all applicable job safe practices and fully comply with Asurion Safety Policies. Meet all regulatory, life-safety and codes requirements.
Responsible for 24 hour, on-call for site incident management, response in the event of after-hours work or emergency impacting the business. Use CAFM System to process work orders and provide weekly, monthly, yearly reporting for facilities.
Perform or manage a variety of facilities and office duties such as mail, stocking of supplies, storage, moving of office furniture and equipment, setting up and or dismantling conference rooms or other areas.
Proactively assess and track client service needs, advising with assessments, recommendations and metrics.
Collaborate, develop and maintain effective business relationships and communications with partners and internal teams.
Schedule work activities with Property Management, internal teams, and the client.
Make recommendations and oversee install of office furniture and equipment. Purchase, inventory and maintenance of such furniture, equipment, and office supplies.
Responsible for facilities disaster recovery efforts and business continuity.
Complete other tasks as may be assigned by Sr. Facilities Manager.
PROFESSIONAL COMPETENCIES:
Experience with BAS, Fire Panels, and other building automation equipment.
Excellent written communications skills, ability to communicate clearly, and ability to make presentation.
A dependable team player with business maturity, enthusiasm and a positive attitude.
Supervisory and leadership experience with facilities project management desired.
Requires a thorough knowledge of facilities management practices along with business ethics, security procedures, and space planning needs.
Demonstrated analytical and problem solving skills.
Understanding of floor plans, CAD drawings.
Technical expertise as it relates to facility management.
QUALIFICATIONS
EDUCATION AND
Experience:
Bachelor's Degree in business or equivalent related experience
Minimum 7 years facilities management experience
CFM or FMP credentials preferred
Supervisory and leadership skills
LANGUAGE SKILLS:
This position requires advanced language skills including the ability to read, write, and prepare correspondence, documents, and/or financial reports. Be able to effectively communicate to internal, external team members, and all levels of management.
TECHNICAL SKILLS:
MS Excel - must have understanding of how to use Excel functions (charts, graphs, etc.), MS PowerPoint, MS Word, Visio, Outlook.
OTHER:
Available to work additional hours, in addition to regularly scheduled hours as required.
The position requires a self-starter who is proactive, detailed and deadline oriented and works well under pressure.
Strong interpersonal skills with demonstrated ability to interact at all levels.
Must be a problem solver and work through complex situations.
Must be a self-starter and results orientated/
Change management skills.
Must have proven knowledge of disaster recovery and business continuity

Organization: SVP_CAREEstimated Salary: $20 to $28 per hour based on qualifications.
